Super Thinkers Ltd – Terms & Conditions

1. About Us

Super Thinkers Ltd, Super Thinkers (Chelmsford) Ltd or Making Learning Easy Ltd (“Super Thinkers”, “we”, “us”, “our”) is a company registered in England and Wales, providing educational support services to children aged 3–18.

2. Definitions

  • Client/Parent: The individual or entity booking and paying for services.
  • Student: The child or children receiving educational services.
  • Tutor: The person providing tuition, as engaged by Super Thinkers.
  • Session: Any lesson, group, or club provided by Super Thinkers.
  • Booking: A confirmed order for one or more sessions.
  • Account Holder: The person responsible for payments and communication.

3. Bookings & Payments

  • All bookings—whether for ongoing registration (recurring tuition) or one-off courses—must be made in advance through www.SuperThinkers.co.uk and are subject to availability.
  • One-Off Course Bookings:
    • All course bookings must be paid in full at the point of booking. Bookings are only confirmed once payment is received.
    • Course bookings are non-refundable except as specified in our Cancellations, Amendments & Refunds section.
    • No late or ongoing fees apply to one-off course bookings.
  • Ongoing (Monthly) Registration:
    • Ongoing registration refers to regular, recurring enrolment in our programmes (such as monthly group or one-to-one tuition).
    • All fees for ongoing registration are due either on the 1st or 14th of each month via direct debit. Invoices are generated 7 days before the 1st of each month.
    • Any client wishing to not pay via direct debit will be charged an additional £15 administration fee per payment cycle.
    • Ongoing registration continues until written notice of cancellation is provided in accordance with our Cancellations, Amendments & Refunds policy.
    • Any outstanding balances or late fees apply only to ongoing (monthly) registration. Accounts unpaid for over three months will be suspended, referred to our legal department, and an additional month’s fee will be charged.
  • The person making the booking (Account Holder) accepts these terms and conditions on behalf of all members linked to the account.
  • All bookings are non-transferable and non-refundable except as specified in our Cancellations, Amendments & Refunds section.

4. Cancellations, Amendments & Refunds

  • To cancel or amend a booking, written notice must be provided to Accounts@SuperThinkers.co.uk. A minimum of one month’s notice is required for cancellations, and requests received after the 23rd of the month take effect from the following billing cycle.
  • Sessions missed without prior cancellation are non-refundable.
  • Outstanding balances must be cleared before cancellations or amendments can be processed.
  • If an outstanding balance remains unpaid for over three months, the account will be suspended, referred to our legal department, and an additional month’s fee will be charged.
  • In the event of forced closure (such as severe weather or public health orders), fees remain payable for the period affected.

5. Holidays, Sickness & Alternative Arrangements

  • Holiday requests must be submitted at least 30 days in advance to Accounts@SuperThinkers.co.uk and must clearly state your Account Number and the ID numbers of the children affected.
  • For Group Programs: Fees remain payable in full regardless of holidays or sickness, as these sessions cannot be rescheduled, credited, or refunded.
  • For One-to-One Sessions: In the event of illness or Covid isolation, please notify the centre as soon as possible. We will offer an alternative session (subject to availability) or an online session where appropriate.
  • Fee reductions for holidays or sickness are only considered for one-to-one sessions if no alternative session can be arranged.

6. Safeguarding & Welfare

  • We are committed to safeguarding all children in our care and will report any suspected abuse to the relevant authorities.
  • Parents must notify us of any medical, learning, or behavioural needs. Failure to do so may result in exclusion from activities or the centre, without refund.
  • If a child fails to attend a booked session without notice, our Missing Child Procedure will be followed.

7. Medication

  • If your child requires medication, you must provide a completed Health Care Plan and Permission to Administer Medication form, and supply the medication for secure storage at the centre.
  • Children without the required documentation and medication cannot attend sessions.

8. Collecting Children

  • Only authorised adults (over 16) registered on your account may collect children from the centre.
  • Children aged 11 and over may be given prior written permission by their parent or guardian to leave the centre independently and bring themselves home.
  • For students aged 11–14, a member of the tutor team reserves the right to decide that it is unsafe for a child to leave on their own due to incidents or reports in the local area. In such cases, parents or guardians will be contacted immediately to make alternative arrangements for collection.
  • This policy is in place to prioritise student safety and respond proactively to changing circumstances in the local community.

9. Conduct, Exclusion & Babysitting

  • Super Thinkers staff may not babysit for families outside of official duties; private arrangements are not our responsibility.
  • We reserve the right to exclude any student or parent whose behaviour disrupts the centre environment. No refund will be given, and transport home is the parent’s responsibility.
  • Abusive or threatening behaviour towards staff will result in immediate termination of services and may be reported to the police.

10. Late Collection & Fees

  • A late collection fee of £10 per 10 minutes applies after the session end time.

11. Photography & Marketing

  • We may take photographs or videos for marketing purposes. If you do not wish your child to be included, please update your account preferences.

12. Lost Property

  • We will attempt to return identifiable lost items upon request (postage at parent’s expense). Unclaimed items are donated to charity at the end of each half-term.

13. Liability

  • Super Thinkers is not liable for personal injury or death unless caused by proven negligence.
  • We are not responsible for lost, stolen, or damaged personal items.
  • We are not responsible for any failure to perform our obligations due to events beyond our reasonable control.

14. Data Protection & Privacy

  • We collect and process personal data in accordance with our Privacy Policy. By booking with us, you consent to this processing.
  • You may opt out of marketing communications at any time.

15. Complaints & Feedback


16. General Terms

  • These Terms are governed by English law and subject to the jurisdiction of English courts.
  • No variation to these Terms is valid unless agreed in writing by a director of Super Thinkers Ltd.
  • If any part of these Terms is found to be invalid or unenforceable, the remaining sections remain in effect.
